The Wildlife Preservation Society of Queensland (Wildlife Queensland) is the longest-running wildlife conservation organisation in Queensland. For more than 60 years we've worked to protect and conserve at-risk species and habitats, advocating for better environmental policy, delivering vital on-ground conservation programs, and raising awareness of wildlife conservation issues through education and community engagement. We currently have six staff (FTE) working from our head office on field conservation projects, advocacy and policy development, fund raising and philanthropy, communications and community engagement. Wildlife Queensland is a membership organisation with affiliated branches across Queensland. We publish a quarterly magazine entitled Wildlife Australia.

THE POSITION  

The position is part-time/30.4 hours per week - ie 4 days a week providing a pivotal coordination role and administrative support to the operational activities of Wildlife Queensland’s members, supporters and branches as well as to the governing board and CEO.

The position will initially be for a 12 month period based on Level 6 of the Social and Community Services Award Qld. Remuneration will be start at $85,390 depending on experience and includes statutory superannuation guarantee, 4 weeks paid leave and 2 weeks sick leave. Performance will be reviewed after 3 months and again after 12 months.

The position requires someone with excellent time management ability, able to handle a multitude of tasks under pressure from a wide variety of stakeholders and be able to acquire knowledge rapidly, working well independently as well as in a team. You need to have the ability to supervisor students and volunteers, have a high level of attention to detail and be able to understand and see what needs doing at all times. A long-term commitment to the job and a passion for the aims and objectives of Wildlife Queensland are desirable.

The main areas of responsibility are as follows:

Administration

Work closely with the Managing Director to manage his day-to-day responsibilities and provide high-level administrative and operational support. Your role will be crucial in enabling him to focus on driving business growth and strategic priorities. From managing schedules and handling correspondence to maintaining records and handling invoicing, you’ll play a key role in ensuring a smooth operation across our maintenance division. 

Ensure that the administrative and financial systems are as streamlined and efficient as possible and be responsible for database management, legal obligations, mail, correspondence and phone procedures, insurance cover, housekeeping and various procedural matters as they arise.

Coordination and support

Manage the administrative services team, students and volunteers in line with Wildlife Queensland's vision and procedures. Coordinate meetings and activities as required and ensure provision of resources and support for all members, staff and volunteers.

Financial and donor management

Responsible for efficient and accurate processing and recording of all financial transactions in head office, including all procedures relating to banking, wages, donors, grants, accounts payable and receivable, as well as membership fees and subscriptions. (A part-time bookkeeper produces monthly MYOB reports).

Information handling and communication

Responsible for managing and ensuring the highest levels of customer service are provided to Wildlife Queensland members and supporters, maintain and improve communication channels, respond to requests from a variety of stakeholders and the public, and ensure regular reporting and documentation.

Human resources

Provide administrative support for staff, CEO and the board as required and maintain staff and volunteer records, contracts and training, superannuation, taxation and other employer responsibilities.

Technical and IT support

Oversee operation of all office equipment and provide support on IT related needs. (IT skills not required but an understanding of Microsoft Sharepoint, Teams etc is favorable). We have the support of an IT Management organization for issues that cannot be resolved inhouse.

Organisational relationships

  • Works mostly autonomously but under the general direction of the CEO.
  • Assists other team members (staff, contractors and board members) with administration and events.
  • Supervises other assigned staff and volunteers.
  • Provide reports to the CEO/board as required eg membership and magazine reports and progress reports on current activities.

 Extent of authority

  • Exercises a degree of autonomy
  • Sets outcomes for assigned staff and volunteers
  • Establishes priorities and monitors work flow in areas of responsibility
  • Financial Authority together with any other approved signatory.

Selection criteria

Essential

  • Demonstrated experience in coordinating, organising and supervising people and procedures.
  • Demonstrated high level competency in a variety of computer applications such as the Microsoft Office suite of programs, internet and email.
  • Demonstrated knowledge of financial matters or ability to rapidly acquire such knowledge.
  • Possess a very high level of attention to detail and be able to carry out duties in a meticulous and efficient manner.
  • Ability to communicate verbally and in writing with a diversity of people and build and maintain relationships with stakeholders.
  • Possess excellent time management skills and the ability to cope under the pressure of demands from a variety of sources.
  • Ability to work both independently and as part of a team.

 Desirable

  • Demonstrated experience or tertiary qualifications in office or business administration.
  • Demonstrated knowledge or ability to rapidly acquire knowledge of the role of Wildlife Queensland, its policies, procedures, structures and functions and to accurately represent the policy and views of the Society.
  • Interest in wildlife and conservation issues.
