About the Role

The Executive Assistant will play a pivotal role in supporting both the Board of Directors and the Chief Executive Officer (CEO). This position involves a range of responsibilities, from administrative tasks and board support to managing schedules and handling travel logistics. The successful candidate will contribute to the organization’s efficiency and effectiveness by ensuring seamless operations and effective communication. The role requires some intrastate and interstate travel.

Key Responsibilities

Board Support:

  • Agenda and Paper Preparation: Create, compile, and distribute agenda papers for board meetings
  • Minute Taking: Attend board meetings to take minutes, finalize them, and distribute them to relevant parties
  • Action Items: Provide reminders to those responsible to follow up on action items from board meetings
  • 1:1 Support: Provide diary management, reminders, and transportation for Board Directors as needed
  • Event Management: Support the delivery of Board and subcommittee meetings, including venue set up, meals, accommodation and access support

Executive Support:

  • Diary and Scheduling: Manage the CEO’s schedule, arrange meetings, and coordinate appointments
  • Communication Management: Respond to emails, handle phone inquiries, and manage correspondence
  • Meeting Notes: Attend meetings with the CEO, take notes, and follow up on action items
  • Problem-Solving: Troubleshoot issues, identify appropriate team members for queries, and liaise with them
  • Discretion: Perform duties with confidentiality and discretion to support the CEO’s efficiency

Administration:

  • Functional Administration: Perform general administrative tasks such as printing, photocopying, typing letters of support, and filing
  • Team Communication: Communicate with team members to ensure smooth administrative processes

Accounts:

  • Expense Tracking: Record purchases, submit receipts, and keep track of expenditure

Event Management:

  • Stakeholder Engagement: Assist with stakeholder engagement and logistics for events, including meal preparation and setup/breakdown

Travel:

  • Travel Management: Manage travel arrangements, including trips to Bulman, surrounds, and interstate locations as required

Required Skills and Experience

  • Proven experience in a similar Executive Assistant role
  • Strong skills in logistics management, coordination, and stakeholder engagement
  • Exceptional organizational and planning abilities
  • Proficiency in handling difficult conversations and adapting to various environments
  • Ability to travel and work in remote locations
  • Confident driving skills with a manual driver’s license
