Southern Gulf NRM is a not-for-profit community-based company responsible for planning and implementation of sustainable Natural Resource Management (NRM) in the southern Gulf of Carpentaria region of North West Queensland. Southern Gulf NRM is governed by a Board of Directors under the provisions of the Corporations Act 2001 and the Constitution of Southern Gulf NRM Ltd.

The Southern Gulf region covers 215,000 square kilometres and comprises the catchments of the Flinders-Cloncurry, Leichhardt, Gregory-Nicholson Rivers, Settlement Creek and Morning Inlet, and the Wellesley Islands.

Programs are delivered collaboratively with a range of stakeholders including landholders, all levels of government, industry groups, Traditional Owners, and conservation groups.

About the role

The Administration Services Coordinator, who has one direct report, will assist the Finance Coordinator, Chief Executive Officer, Board of Directors and project staff to support the efficient and effective delivery of the Southern Gulf NRM work program.

You will be responsible for:

  • Manage the administrative services in an effective and efficient manner including:
    • (a) Management of administrative staff.
    • (b) Coordination of administrative support to the Board, Executive and Management.
    • (c) Manage workflows with continuous improvement.
    • (d) Liaison with external and internal stakeholders to provide services.
  • Manage the recruitment administration function which includes, onboarding, induction and training, rostered leave, workplace health and safety and equal opportunities policies and guidelines.
  • Manage the performance and professional development of administrative staff ensuring understanding, compliance and adherence to organisational, client management and professional policies and practice standards.
  • Monitor the Southern Gulf NRM organisational budget and understand the delegations within the budget.
  • Manage contract and price negotiations with office vendors, service providers and building maintenance.
  • Coordinate and manage the fleet (vehicles and trailers).
  • Knowledge of, or the ability to work to, SGNRM's sustainability in responsible business practices by preparing ESG (Environmental, Social and Governance) reporting.
  • Monitor the bookkeeping tasks including, financial data entry, journaling, reconciliations and preparation of routine financial reports, including payment of all invoices.
  • Partner and supervise the updating of Southern Gulf NRM policy documents, including workplace health and safety policies, procedures and records.
  • Liaise with the IT department on all office equipment for renewals and new employees.
  • Coordinate, manage and report on projects such as Regional Capacity Services.
  • Contribute to the success of Southern Gulf NRM team through positive and flexible contributions to the management and administration of the organisation.

This position may also require travel and overnight stays around the region with attendance at meetings outside of normal work hours.
